Password-Protected Download Links: Why and How to Use Them
Oct 19, 2026 · DropYaar Admin
A share link is like a key left on a table: anyone who finds it can use it. A password adds a second step. The person opening the link must also know a word or phrase that you chose. It is a small change that makes a real difference for private files.
When a password is worth adding
- Documents with personal details, such as scans, invoices or forms.
- Work in progress that clients should see, but the public should not.
- Anything you are sending to many people through a channel you do not fully control, such as a group chat or a shared mailbox.
For a public brochure or a free download, a password only gets in the way.
How to choose a good password
- Use a few random words or a long phrase instead of a short word. Length matters more than symbols.
- Do not reuse a password you use anywhere else.
- Make a new one for each share. If one leaks, only one file is affected.
How to send the password
This is the step people skip. If you put the link and the password in the same email, the password adds little. Send them by different routes. For example, the link by email and the password by a text message or a phone call.
Combine it with other controls
A password works best with other settings. An expiry date makes the link stop working on its own. A download limit caps how many times the file can be fetched. And you can switch the link off by hand when the job is done. Read more in our guide to expiring links.
What a password cannot do
It does not stop the receiver from saving or forwarding the file. It does not help if the password is guessable, like a name or a birth year. Think of it as a lock on the door, not a guarantee against every risk.
Using passwords on DropYaar links
When you create a share link in DropYaar, you can set a password for it. People who open the link are asked for the password before they can download. See all features, or sign up free and try it with a test file. Plans are listed on the pricing page.
Frequently asked questions
Should I always use a password?
No. Use one for private or sensitive files. Skip it for content meant to be public.
What if I forget the password I set?
Create a new share link with a new password and send that instead. You can switch off the old link.
Is a password the same as encryption?
No. A password controls who can open the link. Encryption is a separate way to protect the contents of a file itself. If you need that level of protection, encrypt the file before you upload it.
